Maintenance & Repairs
Fleet Services provides maintenance and repair services for all University vehicles & equipment. Our ASE certified technicians perform all mandatory safety inspections on everything from refuse trucks, to electric vehicles, to lawn mowers. We further maintain and repair building related mechanical systems such as emergency generators and dock levelers.
One of our primary functions is preventive maintenance. All University vehicles are required to undergo regular safety inspections and services at intervals set forth by Fleet Services. We function under the fleet industry best practice of considering that any of the University’s approx. 700 pieces of equipment could be used on a given day and needs to be safe. Click here for an example of our most common inspection and service routine for sedans, vans, and light trucks. Additional inspection & maintenance routines are developed for specialty equipment as needed and can be requested at any time. Our friendly Business Office will contact you approximately 1 month before a scheduled safety inspection & service to give you opportunity to comment on your operational needs or any repairs that should be done at time of service.
Don’t see what you need listed here? Don’t worry, if it has moving parts, chances are we’ll repair it. We just finished up repairs on some hand trucks and pallet jacks so no job is too small! Please call our Fleet Services Customer Service Line at 9×2228 or Request a Fleet Services Work Order.
Accident Assistance
We’d all prefer our University vehicles stay looking new forever. Unfortunately, that’s not always the case. Been involved in an accident while operating a University vehicle? Accidents can be anything from a fender bender in traffic to coming out to a parking lot and noticing a dent in the door of your work truck. University drivers are required to report all damage to University vehicles. Instructions on how to report damage to equipment can be found at the UCSC Risk Services link below and the accident reporting kit located in the glove box of your vehicle.
Once a claim is submitted, Fleet Services will work with the affected customer to schedule estimates, facilitate pick-up for repairs, and supervise the work performed. If you have any questions about how to report damage/vandalism to your University vehicle, please feel free to contact our Fleet Services Customer Service Team at fleets@ucsc.edu or 9×2228.

Vehicle Purchases
Need to purchase a new or used vehicle for your department? Fleet Services is where you’ll begin. We provide advice on buying the most basic sedans, custom upfitted trucks, and even heavy machinery. If it has a motor, we’re happy to get you into something that will help you get your work done!
We offer two options for the buying process. Some departments have funds set aside to purchase a vehicle up front. We advise these customers on specifications and source the vehicle with assistance from our partners at UCSC Procurement. Don’t have the money up front to replace a vehicle? Fleet Services can often purchase equipment for your department and lease-to-own the vehicle back to you at 0% interest. Payments are made monthly for a fixed term.
Regardless of how you plan to buy, please bear in mind that there are fees associated with University vehicle ownership. You can view a sample budget for operating University equipment for your convenience, and a blank copy of our lease-to-own contract. All University vehicles begin their life with an initial safety inspection. During this process, we add the University identification, register the vehicle with the DMV, install fueling equipment, ensure everything you ordered arrived as specified, and perform a thorough safety inspection. Please also feel free to contact Risk Services and TAPS at the links below if you have questions about insuring and parking equipment that is new to the University or their current rates.
A discussion of Fleet rates and fees for University equipment is available in the Fleet Business Office section of this website. Ready to purchase? Contact our Fleet Services Customer Service Team at fleets@ucsc.edu or 9×2228.
UCSC is working to get off fossil fuels!
Part of our Decarbonization & Electrification Plan is to transition our fleet to Zero Emission Vehicles:

Our Fleet team will guide you in making your Zero Emission Vehicle purchase, where fueling infrastructure is available. Where fueling is not available, they can let you know about upcoming stations and any opportunities for new installations. If you’re considering purchasing an electric vehicle, view UCSC’s current Electric Vehicle Charging Locations.

Wash Station
Fleet Services is the home of the campus’ 100% closed loop water recycling wash station. This state-of-the-art biodigestion system uses bacterial microbes to eat oil and other contaminants and send treated water back through our pressure washers to wash the next piece of University equipment. Absolutely 0 water is sent to the City sewer system or to the Monterey Bay. It’s all reused on everything from getting stubborn oil off an engine to washing a vanpool van.
Have a group of vehicles or equipment that you’d like our staff of student employees to clean? Find out how to keep your equipment clean even during this drought, by calling our Fleet Services Customer Service Line at 9×2228 or emailing fleets@ucsc.edu.
Fuel Site
Fleet Services has your University vehicles and equipment covered when it comes to fuel. We provide unleaded, renewable diesel (RD99), and compressed natural gas (CNG) at our fuel site located just behind Fleet Services’ Central Garage. Our fuel island features the FuelMaster fuel management system which utilizes “keys” to activate the fuel pumps. Much of the fleet has been converted to an automatic fueling system called an AIMII kit, which allows for “keyless” fueling. Customers can just pull up and start pumping. The system does the rest!
If you’re new to University equipment management and need a key or have any other questions about fueling, please call our Fleet Services Customer Service Line at 9×2228 or by pressing the “bell” at the fuel island when your visiting and need assistance.
